At a hotel front desk, a guest hands a card across the counter to the receptionist.

Hotel billing software with GST built in.

Made for hotels, homestays, lodges and guest houses with rooms. Each stay keeps one running bill: the room, restaurant orders, laundry and every extra. When the guest leaves, the desk issues the right GST document from that same bill.

SutraStack hotel billing software, the Billing tab of a stay: the guest's bill with the room, a restaurant dinner, laundry and room-service chai, the tax on each line, then CGST, SGST and the grand total.
The GST tax invoice SutraStack printed for that stay: number INV/26-27/0023, the hotel's GSTIN, a SAC code on each line, CGST, SGST and the grand total.

— The checkout scramble

Why the bill is the slowest part of checkout.

  • 01

    Charges on scraps of paper.

The restaurant writes the dinner on its own pad. Laundry goes in a notebook. At checkout someone adds it all up by hand while the guest waits, and a forgotten tea or an extra bed never reaches the bill.

  • 02

GST that depends on who is on shift.

Which rate goes on which line, the CGST and SGST split, the GSTIN on the page, the next number in the series. One slip and the invoice has to be made again, or it goes wrong into your GST return.

  • 03

    Corrections nobody can trace.

A wrong amount is crossed out, or the invoice is typed again. Months later nobody can say what changed, who changed it or why, and your accountant has to piece it together.

— How SutraStack bills

One bill. The right GST document.

  • 01

One running bill for each stay.

Room nights come from the booking. Staff add restaurant and room-service orders, minibar, laundry, telephone, spa, parking, an extra bed, and early check-in or late check-out. The restaurant can charge a guest's order straight to their room.

  • 02

Each line taxed as what it is.

Rooms are taxed as accommodation, food and minibar as food, laundry, spa and parking as services. The GST rules for India come set up, so nobody types a tax rate at the desk. The bill shows the tax on every line and splits it into CGST and SGST.

  • 03

The right document, chosen for you.

A taxed stay gets a GST tax invoice. A stay with no tax on it gets a bill of supply. A hotel that isn't registered for GST issues a plain invoice. The desk never has to guess which one the law asks for.

  • 04

Print the bill as often as you like.

The guest can see the running bill at any time, on paper or as a PDF, and nothing is final. The invoice is issued once the guest, and every other room on the booking, has checked out.

  • 05

    Advances, payments and refunds.

Record cash, UPI, card or bank transfer against the booking. An advance can get its own deposit receipt, refunds are recorded on the same booking, and the bill always shows what is paid and what is still due.

  • 06

    Corrections the GST way.

Nothing is deleted. A wrong charge or payment is voided with a reason. An invoice that has already gone out is corrected with a credit note, or topped up with a debit note, each in its own number series.

— Why hotels bill with SutraStack

Billing that lives inside the PMS.

  • 01

    No second software.

Billing is part of SutraStack, in the same login as your bookings, rooms and restaurant. Nothing is typed twice, and no bill has to be matched to a booking by hand. There's no separate hotel invoice software or room billing system to keep in step.

  • 02

    Numbers your accountant can follow.

Every tax invoice, bill of supply, credit note and receipt is numbered in its own series for each financial year, like INV/26-27/0001, with your GSTIN and the SAC code on the page. All of them are listed in one place, by type and year.

  • 03

Every rupee in a day book.

The day book shows every payment in and every refund out for any dates, by source or by payment method, and downloads as a CSV file for your accountant. Each change on a bill is logged with who made it.

— Questions, answered

What hoteliers actually ask.

  • Yes. SutraStack is hotel billing software with GST built in. From a guest's bill it issues a GST tax invoice as a PDF with your hotel's name and GSTIN, with the tax split into CGST and SGST, or IGST where the law asks for it. A stay with no tax on it gets a bill of supply instead, and a hotel that isn't registered for GST issues a plain invoice. We switch GST invoicing on for your hotel once your GSTIN is added.

  • Yes. Each stay has one running bill. Next to the room, staff add restaurant and room-service orders, minibar, laundry, telephone, spa, parking, an extra bed, and early check-in or late check-out. The restaurant can charge a guest's order straight to their room, so the food lands on the same bill.

  • Nothing is deleted. A wrong charge or payment is voided with a reason, and the change is logged with who made it. Once a GST invoice has gone out, it is corrected with a credit note or a debit note, as GST law expects, so your records and your accountant's books stay complete.

  • Cash, UPI, card and bank transfer. An advance taken before the guest arrives can get its own receipt, refunds are recorded on the same booking, and the bill always shows what has been paid and what is still due.

  • SutraStack is made for places with rooms. If your hotel also has a restaurant, it runs in SutraStack too: the menu, tables, kitchen tickets, and a bill paid at the counter or charged to the guest's room. It isn't a till for a restaurant without rooms.
